As we expand our digital presence and customer acquisition efforts, we are looking for an Associate in the company.

Role Overview

• ABusiness Tech is looking for a highly responsible, organized, proactive, and execution-focused Founder's Office Associate to work directly with the Founding Team.
• This is a broad Executive Assistant / Secretary / Founder's Office / Coordination role and is not limited to project coordination.
• The primary purpose of this position is to ensure that tasks, instructions, commitments, and priorities assigned by the Founding Team are properly executed and brought to closure .
• The person will support the Founding Team in their day-to-day activities, coordinate with employees and senior stakeholders, manage schedules and meetings, track projects and tasks, prepare documentation, take meeting notes, follow up on decisions, organize information, and handle other business requirements assigned by the Founders.
• The candidate must demonstrate a very high level of ownership, accountability, confidentiality, follow-through, and responsibility .
• The expectation is simple: If a task is assigned to you, you own it until it is completed.

Key Responsibilities

Executive & Founding Team Support

• Work directly with Founders and senior leadership on their daily priorities and business requirements.
• Take ownership of tasks assigned by the Founding Team and ensure their timely completion.
• Organize and prioritize requests, tasks, meetings, follow-ups, and commitments.
• Coordinate internally and externally on behalf of the Founders when required.
• Prepare documents, reports, presentations, trackers, emails, meeting material, and other business information.
• Handle sensitive and confidential information with appropriate discretion.
• Ensure important matters do not get missed because of a lack of follow-up or coordination.

Task Ownership & Execution

• Take complete ownership of assigned tasks from initiation through closure.
• Understand the expected outcome, deadline, dependencies, and stakeholders for every assignment.
• Coordinate with the appropriate people to obtain the information or action required.
• Follow up consistently until commitments are completed.
• Identify delays or blockers before they become critical.
• Escalate issues to the Founding Team when intervention or a decision is required.
• Maintain clear visibility of open, pending, completed, and overdue tasks.
• Provide accurate status updates without requiring repeated follow-ups from management.

Calendar & Meeting Management

• Manage and coordinate meetings, appointments, calendars, and schedules.
• Schedule internal and external meetings based on priorities.
• Coordinate with employees, clients, vendors, partners, Board Members, and other stakeholders.
• Ensure participants have the necessary agenda, documents, and context before important meetings.
• Manage meeting changes, conflicts, reminders, and follow-ups.

Meetings & Documentation

• Attend important meetings with Founders and leadership.
• Take structured and accurate meeting notes and Minutes of Meeting (MoM) .
• Capture decisions, commitments, action items, owners, and deadlines.
• Circulate relevant information to stakeholders.
• Track meeting action items until closure.
• Maintain organized records of important discussions, decisions, and documentation.

Project & Team Coordination

• Coordinate across multiple projects and departments on behalf of the Founding Team.
• Check team progress and assigned deliverables regularly.
• Follow up with employees regarding deadlines and commitments.
• Maintain project and task trackers.
• Identify blockers, dependencies, missed deadlines, and areas requiring management attention.
• Coordinate with project managers and functional leads without being limited to a traditional Project Coordinator role.

Leadership & Board Coordination

• Coordinate professionally with Board Members, Founders, senior leadership, advisors, clients, partners, and other key stakeholders .
• Schedule and organize leadership and board discussions.
• Prepare required information and documentation before meetings.
• Record important decisions and ensure agreed actions are followed through.
• Maintain professionalism and confidentiality in all leadership-level communications.

General Business & Administrative Support

• Assist the Founding Team with administrative and operational requirements as assigned.
• Conduct basic research and gather information required for business decisions.
• Coordinate travel, meetings, appointments, events, documentation, or other arrangements when required.
• Draft professional emails and communications.
• Maintain organized digital records and documentation.
• Support urgent or ad-hoc business requirements when necessary.

Qualifications

• Fresh graduates are encouraged to apply.
• Bachelor's or Master's degree in any of the following disciplines:
• B .Tech / B.E. – Any relevant engineering or technology discipline
• BBA – Bachelor of Business Administration
• B.Com – Bachelor of Commerce
• MBA – Master of Business Administration
• 0–2 years of experience; freshers with strong communication, organizational, and execution skills are welcome.
• Strong written and verbal communication skills in English.
• Good working knowledge of Microsoft Excel, Word, PowerPoint, Outlook, and Teams.
• Strong organizational, documentation, and note-taking abilities.
• Ability to communicate confidently and professionally with Founders, senior leadership, employees, and external stakeholders.
• Candidates must demonstrate a strong sense of ownership, accountability, responsibility, and follow-through.
• Ability to handle confidential information professionally and with discretion.
• Strong willingness to learn and take ownership of different business, administrative, operational, and project-related assignments.
