Business Operations Specialist (UAE National)

Help AG is looking for a talented and enthusiastic UAE National to join us a Business Operations Specialist who will play a crucial role in ensuring the smooth operation of our business processes and office environment. This dual-role position along with Office Manager requires a versatile professional who can manage business operations efficiently while maintaining a well-organized and productive office space.

Responsibilities

• Business Operations
  • Analyze and optimize business processes to improve efficiency and productivity.
  • Collaborate with various departments to ensure seamless workflow and communication.
• Office Management
  • Manage office space and layout to ensure a functional and pleasant work environment.
  • Manage administrative tasks such as filing, data entry, and correspondence.
  • Oversee daily office operations, including maintenance, supplies, and equipment.
  • Order and arrange refreshments and catering for visits and meetings.
  • Keep control of supplies, stationery and equipment for office and replenish in time.
  • Coordinate with vendors and service providers for office-related needs.
  • Coordinate improvements and repair as required by coordinating internal and external teams.
  • Oversee corporate contracts with service providers including maintenance, catering, etc. review / negotiation / renewal.
• Visitor Management
  • Take ownership of customer visits from A-Z and ensure a smooth experience from arrival till Departure; coordinate with internal and external parties as required.
  • Greetings and guidance of visitors to our office.
  • Ensure presentability of the office, facilities, and team.
  • Remain available and attentive throughout the entire visit.
• Administrative Support
  • Research information as required; collect and analyze information; create reports.
  • Arrange for employee office supplies, business cards, mobile phones as required.
  • Manage employee enrollment in corporate (group) systems for access.
  • Maintain appointment schedule, planning and scheduling meetings, conferences, teleconferences for executive management.
  • Provide reference by developing and utilizing filing systems, recording meeting discussions.
  • Assist with basic financial tasks, including petty cash management and expense tracking.
  • Overseeing and agreeing corporate contracts with service providers including security, parking, cleaning, catering, etc. and review / negotiation / renewal.
  • Vendor Management / Maintaining the site / Contacts.

Qualifications & Skills

• Emirati candidates with family book will be preferred for this role.
• Bachelor's degree in business administration, management, or a related field.
• Proven experience in business operations and office management.
• Proficiency in Microsoft Office Suite and other relevant software.
• Strong analytical and problem-solving skills.
• Excellent organizational and multitasking abilities.
• Open-minded, friendly, welcoming, and helpful attitude.
• Very good and clear English.
• Good Communication Skills for business requirements.
• Reliability and strict confidentiality.
