Customer Service & Operations Administrator

Overview: We are looking for a dedicated, highly organised Customer Service & Operations Administrator to join our team in Dubai. This role would suit a proactive and detail-oriented professional who enjoys working in a fast-paced environment and is confident managing multiple priorities while maintaining a high level of accuracy and customer service. The successful candidate will support the day-to-day customer service and order management process, working closely with customers, sales teams, logistics partners and internal departments to ensure orders are processed accurately and delivered efficiently. Key Responsibilities

• Manage customer enquiries professionally and efficiently, providing clear and timely communication throughout the order process.
• Process customer orders accurately from receipt through to delivery.
• Review purchase orders and ensure pricing, product information, delivery details and commercial terms are correct.
• Coordinate with internal teams to ensure orders are processed within required timelines.
• Liaise with freight forwarders, couriers and logistics providers to arrange local and international shipments.
• Prepare and review shipping and commercial documentation, including invoices, packing lists and other required export/import documents.
• Support customs clearance processes and coordinate documentation required for international shipments.
• Monitor shipments and proactively communicate any delays or issues to customers and relevant internal teams.
• Maintain accurate customer, order and opportunity information within company systems.
• Support the sales team with administrative and customer-related requirements.
• Maintain organised records and documentation in accordance with company procedures.
• Follow up on outstanding actions and ensure tasks are completed within agreed deadlines.
• Assist with general administrative and operational requirements as required.

Requirements

• Looking for someone with experience in one or more of the following areas: customer service/customer operations, order processing and order management, sales administration or sales support, logistics and international shipping, import/export documentation, customs clearance procedures, or working with freight forwarders and couriers.
• A dedicated and reliable administrative/customer service professional.
• Highly organised with excellent attention to detail.
• Able to manage multiple tasks and priorities effectively.
• Comfortable working in a fast-paced and deadline-driven environment.
• Proactive and able to identify and resolve issues rather than waiting for instructions.
• A strong communicator with a professional approach to customers and colleagues.
• Confident working independently while also collaborating effectively as part of a team.
• Fluent in written and spoken English.
• Competent in Microsoft Office, particularly Outlook and Excel.
• Experience using Microsoft Dynamics NAV (Navision) and Salesforce would be a strong advantage.
