The Document Specialist is responsible for completing document-related processing and administrative tasks with a high level of accuracy, organization, and attention to detail. This role manages assigned work queues, maintains accurate records, follows established procedures, and ensures documents are properly reviewed, processed, and tracked within required timelines.
Core Responsibilities
- Review, process, and maintain documents in accordance with established procedures and quality standards.
- Complete assigned work accurately and within required deadlines.
- Enter, update, and verify information in applicable systems.
- Organize, track, and maintain electronic and physical documentation as required.
- Ensure documents are properly categorized, indexed, and stored.
- Identify missing, incomplete, or inconsistent information and escalate issues appropriately.
- Follow established workflows, templates, procedures, and documentation standards.
- Maintain accurate records and ensure all required documentation is properly accounted for.
- Communicate effectively with internal teams regarding document status, outstanding requirements, and processing issues.
- Monitor assigned queues and prioritize work based on deadlines and business needs.
- Assist with quality control by identifying errors, discrepancies, and opportunities to reduce rework.
- Protect the accuracy and integrity of documentation throughout the processing workflow.

Required:
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple tasks and time-sensitive work queues.
- Strong written and verbal communication skills.
- Ability to accurately review and process high volumes of documentation.
- Comfortable learning and navigating multiple computer systems and workflow platforms.
- Ability to follow established procedures while recognizing and escalating exceptions.
Preferred:
- Experience in document processing, administrative operations, financial services, mortgage, legal, or other regulated environments.
- Experience working in a queue-based or production-oriented environment.
- Experience with document management or workflow systems.
