Job Summary

ATS Shipping is seeking a highly organized, proactive and detail-oriented Executive Assistant to support the CEO in driving operational efficiency, executive coordination and timely execution of key business priorities. The role goes beyond traditional administrative support, requiring the ability to manage executive operations, coordinate with multiple stakeholders, drive follow-ups and ensure strategic decisions and action items are closed within agreed timelines. Based in Jebel Ali, Dubai, this is a high-impact role for a candidate who thrives in a fast-paced corporate environment.

Key Responsibilities

• Manage the CEO’s calendar, appointments, travel schedules and logistics with precision and foresight.
• Organize and coordinate high-level internal and external meetings, including agendas, presentations and supporting documentation.
• Attend WBRs and official meetings, prepare Minutes of Meeting, circulate action points and ensure timely follow-up and closure.
• Maintain and manage the CEO Business Action Tracker, ensuring commitments, approvals, pending tasks, timelines and ownership are tracked.
• Proactively follow up with internal and external stakeholders, escalating delays and ensuring accountability across teams.
• Prepare weekly summaries, status reports and closure updates for the CEO and leadership team.
• Translate high-level directives from the CEO into actionable tasks with clear timelines and deliverables.
• Draft professional emails, business memos, presentations, reports and executive correspondence with accuracy and confidentiality.
• Manage confidential communications, filing systems, executive records and stakeholder coordination.
• Support executive networking activities, industry events, conferences and YPO-related coordination.
• Coordinate foreign visa applications, renewals, medical insurance claims, reimbursements and administrative support for the CEO’s office.
• Liaise with senior leadership, clients, regulatory authorities and international partners on behalf of the CEO’s office.

Qualifications & Requirements

Mandatory

• Strong communication and professional correspondence skills.
• Excellent coordination, multitasking and stakeholder management abilities.
• Strong follow-up skills with the ability to drive accountability and closure.
• Ability to thrive in a fast-paced corporate environment.
• Prior experience supporting senior executives or a CEO is highly desirable.
• High level of discretion, confidentiality and professionalism.
• Eligibility to work in the UAE and ability to join immediately.

Important: Strong stakeholder management, follow-up and confidentiality skills, plus the ability to drive timely closure of executive action items, are the most critical requirements for this role.
