Job Title: Executive Secretary to CEOLocation: Qatar Job Summary We are looking for an experienced Executive Secretary to the CEO to provide high-level administrative and executive support to the Chief Executive Officer. The role involves managing the CEO’s schedule, correspondence, meetings, documentation, and coordination with senior management and key stakeholders. The ideal candidate should have excellent communication and organizational skills, strong attention to detail, discretion, and the ability to handle confidential information professionally. Key Responsibilities
Provide comprehensive executive and administrative support to the CEO. Manage the CEO’s calendar, appointments, meetings, and daily schedule. Coordinate internal and external meetings with senior management, government entities, stakeholders, and other key contacts. Prepare meeting agendas, presentations, reports, minutes, and other documents as required. Maintain accurate records of meetings, decisions, correspondence, and follow-up actions. Draft and proofread letters, emails, reports, presentations, and official correspondence. Handle incoming and outgoing communications on behalf of the CEO when required. Follow up with departments and senior management on action points and deadlines. Coordinate travel arrangements, accommodation, transportation, and itineraries for the CEO. Organize and coordinate executive meetings, conferences, events, and official engagements. Maintain strict confidentiality of sensitive business and executive information. Support the CEO in preparing for meetings by gathering relevant information and documentation. Coordinate with government and semi-government entities, external organizations, and senior stakeholders as required. Maintain an organized filing and document management system. Monitor important deadlines, appointments, and commitments and ensure timely follow-up. Perform other executive support and administrative duties assigned by the CEO. Requirements
Bachelor’s degree in Business Administration, Management, Secretarial Studies, or a related field. 5–8 years of experience as an Executive Secretary, Executive Assistant, Personal Assistant, or similar role supporting senior executives. Previous experience supporting a CEO, Managing Director, Executive Director, or C-suite executive is preferred. Experience working within a government, semi-government organization is an advantage. Strong written and verbal communication skills. Strong proficiency in Microsoft Office, particularly Word, Excel, Power Point, and Outlook. Excellent calendar, meeting, travel, and document management skills.
