Position Overview

We are seeking a reliable, professional, and highly motivated Receptionist to join our dynamic team. As the first point of contact, you will play a crucial role in shaping our client experience. The ideal candidate is exceptionally organized, detail-oriented, and thrives in a vibrant, fast-paced environment.

Key Responsibilities

• Client Experience: Greet clients and visitors warmly to create an exceptional, positive first impression.
• Communication Hub: Answer and route incoming switchboard calls promptly, delivering accurate messages via email or voicemail.
• Firm Advocacy: Maintain clear communication between the reception desk and office clientele while strictly adhering to confidentiality policies.
• Calendar Management: Coordinate schedules, book conference rooms, and maintain an accurate log of events, personnel, and visitors.
• Meeting Preparation: Manage conference room setups to ensure all reservation requests are met before scheduled meetings.
• Logistics Support: Receive, log, and direct incoming deliveries efficiently.
• Administrative Assistance: Support administrative staff and attorneys with special projects and daily tasks as needed.
• Facility Aesthetics: Ensure the reception and conference areas remain polished, tidy, and welcoming at all times.

Skills & Qualifications

• Experience: Law firm or professional office experience is a strong plus.
• Education: High School Diploma or equivalent required.
• Tech-Savvy: Proficiency in Windows-based software and Microsoft Office Suite (Word, Excel, Outlook) with an ability to learn new applications quickly.
• Communication: Outstanding verbal and written communication skills paired with a professional demeanor.
• Autonomy: Self-starter capable of working under minimal supervision while maintaining a proactive, team-oriented mindset.
• Client Focus: Dedicated to providing high-quality service and exceeding client expectations.
• Adaptability: Strong ability to prioritize tasks, multi-task, and stay composed under pressure in a fast-paced environment.
• Collaboration: Skilled at building effective working relationships across all levels of the organization.

• Shift: 8-hour shift, Monday to Friday (9:00 AM – 5:00 PM)
