Facilities & Maintenance Coordinator Villas & Offices

Job Summary

We are seeking an organized and proactive Facilities & Maintenance Coordinator to oversee maintenance technical services vendor relationships and project coordination across private villas and office locations in Dubai.

The successful candidate will coordinate routine and emergency maintenance manage contractors support solar and fit-out projects and liaise with developers and local authorities. This position requires strong technical knowledge excellent follow-up skills and the ability to manage multiple sites and projects independently.

Key Responsibilities

Villa Maintenance and Projects

• Coordinate routine preventive and emergency maintenance across multiple villa properties.
• Oversee the implementation and completion of solar projects including contractor coordination site supervision and timeline tracking.
• Liaise with Emaar Nakheel and other developers regarding property documentation approvals permits and service contracts.
• Coordinate with DEWA on utility approvals billing matters service requests and issue resolution.
• Liaise with Empower regarding air-conditioning performance maintenance and service issues.
• Coordinate electricians plumbers mechanical contractors and other technical service providers.
• Manage landscaping irrigation and leak-detection contractors to ensure villa systems are maintained correctly.
• Coordinate pool maintenance and ensure the proper operation and connectivity of pool chillers and heaters.
• Respond promptly to ad hoc maintenance requests while minimizing disruption to residents and operations.

Contractor and Vendor Management

• Source evaluate negotiate with and coordinate contractors and service providers.
• Obtain and compare quotations to identify suitable and cost-effective solutions.
• Review scopes of work service contracts project schedules and contractor deliverables.
• Monitor work quality timelines and compliance with agreed requirements.
• Maintain accurate records of quotations approvals contracts maintenance activities and project progress.
• Follow up with vendors to ensure issues are resolved promptly and work is completed to the required standard.

Office Maintenance and Support

• Coordinate with Concordia and DMCC regarding office maintenance approvals compliance and infrastructure requirements.
• Support office fit-out electrical mechanical and general maintenance projects.
• Liaise with vendors and internal stakeholders to schedule and track maintenance work.
• Provide basic coordination procurement and task-tracking support to the IT Manager and Office Manager as required.

Requirements

• Two to three years of experience in facilities management property maintenance technical coordination or a related position.
• Practical knowledge of villa systems air-conditioning electrical and plumbing systems solar technology irrigation and pool maintenance.
• Familiarity with Dubai developers utility providers and regulatory organizations including Emaar Nakheel DEWA Empower DMCC and Concordia.
• Strong contractor and vendor management skills.
• Good negotiation communication and problem-solving abilities.
• Excellent organizational and time-management skills with the ability to manage multiple sites and projects simultaneously.
• Proficiency in Microsoft Word Excel Outlook and project- or task-tracking tools.
• Ability to work independently prioritize urgent matters and make sound decisions.
• Willingness to travel frequently between properties and offices across Dubai.
• A valid UAE driving licence is required.

The ideal candidate is hands-on dependable and comfortable working in a fast-paced environment. You should take ownership of maintenance issues communicate professionally with vendors and stakeholders and follow tasks through to completion.

Work Locations

The position is based in Dubai and involves frequent visits to villa properties in Emirates Hills Arabian Ranches and Jumeirah Islands as well as designated office locations.
