Operations Executive

About the Role

Viya is seeking a proactive and detail-oriented Operations Executive to support the onboarding and integration of golf clubs onto the Viya platform. This role plays a key part in ensuring a smooth onboarding experience by coordinating with golf clubs, internal teams, and business partners while managing timelines, documentation, and communication throughout the implementation process.

The ideal candidate is highly organized, commercially aware, and capable of managing multiple projects simultaneously. Experience in operations, project coordination, account management, hospitality, golf, leisure, tourism, or technology environments is advantageous.

Key Responsibilities Golf Club Onboarding & Implementation

• Coordinate the end-to-end onboarding of golf clubs onto the Viya platform.
• Liaise with internal Development, Marketing, and Operations teams to ensure successful implementations.
• Manage onboarding timelines, trackers, project plans, and implementation schedules.
• Collect and coordinate club information, marketing assets, pricing structures, and platform content.
• Monitor onboarding progress and proactively follow up on outstanding actions.
• Coordinate onboarding meetings, training sessions, testing activities, and go-live launches.
• Identify and elevate risks, delays, and dependencies to ensure successful project delivery.

Business Development & Sales Support

• Support outreach activities to prospective golf clubs and industry partners.
• Assist with lead generation, prospect research, and qualification activities.
• Schedule introductory meetings, product demonstrations, and onboarding discussions.
• Maintain accurate CRM records, onboarding updates, and sales pipeline information.
• Coordinate follow-ups and support the Senior Operations Executive throughout the sales process.

Market Research & Data Management

• Research golf clubs, golf tourism markets, and industry opportunities.
• Maintain and update databases of target clubs, contacts, and business opportunities.
• Compile operational, commercial, and market intelligence data for management review.
• Monitor industry developments, competitor activities, and emerging market trends.

Reporting & Administrative Coordination

• Assist with operational reporting, presentations, and business documentation.
• Coordinate internal and external meetings, workshops, and stakeholder discussions.
• Prepare meeting agendas and document action points and meeting minutes.
• Support cross-functional projects and ongoing operational initiatives.
• Follow up on deliverables and ensure timely completion of assigned actions.

Requirements Essential

• Bachelor's degree in Business Administration, Operations, Marketing, Hospitality, Tourism, Sports Management, or a related field.
• 2-4 years of experience in operations, project coordination, account management, business support, or a related role.
• Strong organizational and time management skills.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Outlook.
• Strong attention to detail with the ability to manage multiple priorities simultaneously.
• Ability to work independently and collaboratively in a fast-paced environment.

Preferred

• Experience within the golf, hospitality, tourism, leisure, sports, or technology sectors.
• Experience working with CRM systems and project tracking tools.
• Knowledge of golf club operations and golf tourism markets is advantageous.
