Position Overview AECOM is hiring a Senior Administrator in Dubai, UAE to provide central administrative coordination for its UAE Government Relations function. With primary administrative responsibility for Dubai, the role also supports activities across Abu Dhabi, Al Ain and Dubai South, ensuring Government Relations cases, deadlines, communications, records and follow-up actions remain accurately tracked and coordinated. The position suits an experienced administrator who can work across multiple stakeholders and locations while maintaining strong operational control and consistent administrative standards.

Operational Control
- Maintain accurate trackers, dashboards and administrative records for Government Relations activities.
- Monitor deadlines, expiries, renewals and outstanding actions.
- Ensure individual cases have clearly identified ownership, current status and required next steps.
- Take primary administrative responsibility for an assigned UAE Government Relations entity or location.
- Identify delays, administrative gaps and other issues requiring escalation.
- Follow up on outstanding activities to support timely completion.
Communication and Team Coordination
- Support the effective administration of Government Relations shared mailboxes.
- Ensure incoming requests are acknowledged, assigned and followed through appropriately.
- Review routine employee and stakeholder communications for accuracy, completeness and clarity.
- Coordinate administrative activities across Dubai, Abu Dhabi, Al Ain and Dubai South.
- Work with HR, Recruitment, Mobilisation, Payroll and other internal teams.
- Help maintain consistent administrative practices across supported locations.
Process and Quality Improvement
- Maintain standard templates, forms, checklists and administrative procedures.
- Review documentation and records for completeness and accuracy.
- Identify recurring administrative gaps and recommend practical improvements.
- Support enhancements to workflows, reporting and document management.
- Contribute to digitalisation and automation initiatives.
- Help teams adopt new administrative processes and workflows effectively.
Experience and Skills
- Relevant experience in senior administration, operations coordination, HR operations or employee services.
- Strong administrative, organisational and follow-up capabilities.
- Excellent written and verbal communication skills.
- Ability to coordinate stakeholders across multiple locations without formal reporting authority.
- Strong reporting, data management and problem-solving skills.
- Proficiency in Excel, Outlook, Word, Teams and SharePoint.
- Comfortable using digital workflows, trackers and automation tools.
- Government Relations or UAE immigration experience is advantageous but not essential.
- Technical processing experience on UAE government platforms is an advantage but is not a core requirement of this position.
