Office Manager – Registered Investment Advisor (RIA)
Location: Boca Raton, FL
Work Environment: On-site, Full-time (1 remote day per week after 6 months)
Role Summary
We’re hiring an Office Manager on behalf of our client—a growing Registered Investment Advisor based in Boca Raton, FL.
The Office Manager will play a pivotal behind-the-scenes role in supporting the firm’s continued growth. This is a non-client-facing position for someone who loves keeping an office running smoothly—from ordering supplies and coordinating vendors to planning team gatherings that bring people together. Working closely with department directors, this person will be the operational heartbeat of a boutique, team-oriented firm, making sure the team has everything it needs to deliver an exceptional client experience. This is an ideal next step for a seasoned financial services professional who has grown out of a client service role and is ready to take their career to the next level. The ideal candidate brings deep industry experience, hands-on custodial platform experience with Schwab or Fidelity, and the aptitude and desire to lead the operational side of a thriving firm.
Core Responsibilities
- Oversee day-to-day office operations to keep the office organized, efficient, and welcoming for the entire team
- Manage office supply inventory, place orders, and maintain relationships with vendors for supplies, equipment, and services
- Plan and coordinate company gatherings, including holiday parties, happy hours, team luncheons, and milestone celebrations
- Leverage working knowledge of custodial platforms such as Charles Schwab or Fidelity to support operational processes in partnership with the service and advisory teams
- Collaborate with department directors on behind-the-scenes improvements that enhance the overall client experience
- Develop and maintain a culture of results-oriented, continuous process improvement across office operations
- Engage with cross-functional teams to troubleshoot issues, test new tools and offerings, and support smooth rollouts
- Serve as the point person for facilities, building management, maintenance, and IT vendor coordination
- Support new team member onboarding, including workspace setup, equipment, and office orientation
- Maintain office policies, procedures, and shared resources in alignment with firm standards and compliance requirements
Candidate Profile
- 10+ years of experience in the financial services industry; RIA or wealth management experience strongly preferred
- A client service background with the aptitude, experience, and desire to step into a broader operational leadership role
- Required: hands-on experience with custodial platforms such as Charles Schwab or Fidelity
- Highly organized with a track record of managing multiple priorities at once; prior office management or operations experience is a plus
- Strong communication skills with excellent interpersonal and organizational abilities
- Proficient in reasoning, conflict management, and analytical problem-solving
- A curious, results-driven team player who advocates for the firm’s core values and is a positive influence on the team
- Ready to move from the front lines of client service into a non-client-facing role supporting the team behind the scenes
- Event planning experience is a plus
Compensation and Benefits
- Base salary of $95,000 to $105,000, depending on experience
- Up to 12% annual incentive pay
- Employee equity plan
- W2 salaried position with room for growth
- 401(k) plan
- Medical and dental insurance
- 10 paid company holidays, plus paid time off
- Annual learning stipend
Work Environment and Culture

With $1.4+ billion in AUM and clients in 36+ states, the firm has built something different: rather than one advisor trying to do every job, they build specialized teams around each client’s needs and stay with them every step of the way.
